Design Studio Assistant

Sage & Gray Design is looking for a highly organized, detail-oriented Design Studio Assistant to keep the operational side of our studio running smoothly — someone who loves interiors, communicates clearly, takes pride in organization, and is excited to help a growing creative studio behind the scenes.

LOCATION

Bushnell's Basin in Pittsford, NY

HOURS

30-40 hours per week
Contract position

COMPENSATION

$20–$25/hour, depending on experience

ABOUT THE ROLE

This is primarily a studio operations, procurement, and project coordination role, with some design-adjacent work. The Design Studio Assistant is the person who makes sure products arrive correctly, samples are organized, vendors follow through, presentations come together, and nothing falls through the cracks. If you find satisfaction in a well-labeled sample shelf and a fully reconciled order tracker, you'll feel right at home here.

RESPONSIBILITIES

Receiving & Samples: Open, inspect, photograph, and organize client products as they arrive at the studio. Check products for damage, accuracy, finish, and quantity. Maintain and organize our studio sample library.

Procurement & Orders: Support purchasing, client invoicing, order tracking, and lead-time updates. Log order confirmations, tracking details, ship dates, and product status changes. Follow up with vendors and keep order information current across our systems.

Project & Client Support: Help prepare for client design presentations — organizing samples, product details, finish palettes, and materials. Source alternate product options under direction from the design team. Track project timelines, vendor updates, contractor needs, and client action items. Communicate professionally with vendors, contractors, clients, and team members.

Studio & Brand: Answer the studio phone, order office supplies, and keep the studio organized and client-ready. Contribute to our social media presence through behind-the-scenes content, project updates, and studio moments. Pitch in on other administrative and coordination tasks as needed.

ABOUT YOU

• Excellent written and verbal communication
• Strong organization and attention to detail
• Genuine interest in residential interior design, furnishings, finishes, and home renovation
• Ability to manage many small details across several active projects at once
• Comfortable communicating with vendors, clients, contractors, and team members
• Proactive and dependable — willing to jump into both creative and operational tasks
• Comfortable lifting, unpacking, and organizing samples and product boxes
• Comfortable with technology and quick to learn new tools and systems

NICE TO HAVE, BUT NOT REQUIRED

• Interior design coursework, degree, certificate, internship, or related experience
• Experience in a design studio, showroom, retail environment, administrative role, or other customer-facing position
• Familiarity with Canva, Google Workspace, SketchUp, Chief Architect, Figma, Coda or similar tools
• Interest or experience in social media content creation

About Us

Sage & Gray is a small, family-owned residential design studio based in Pittsford, NY. A few years in and growing, we design homes that reflect who our clients are and support how they actually live — full-home renovations, kitchens, baths, and all the details in between, built on careful listening and a deep love of the craft.Behind the studio is a small team: Lindsay (Owner & Principal Designer, formerly VP of Design at Pinterest before returning home to Rochester), Em (Designer), and Andy (Operations & Concept Design).

We're goofy, we're genuinely obsessed with design, and we care deeply about our clients and the people who work here. We're building something we hope feels like a community — a place where the work is good, the people are good to each other, and everyone gets to grow.
